Booking and Payment for trips in Ecuador - Cotopaxi Travel Company Cia. Ltda.!

We do our best to provide you with the most excellent service possible, so please take a moment to read this section. 

Payments

To confirm your reservation for any of the tour services offered by Cotopaxi Travel Cia. Ltda., a 50% pre-payment of the total tour price is required. This deposit guarantees your booking, accommodations, guide, and logistical arrangements. The remaining 50% must be paid in cash on the day your tour begins. If you prefer to pay the remaining balance through our online payment platform (WeTravel), please let us know in advance so we can send you a secure link to complete the payment before your trip starts. ⚠️ Please note that we do not issue confirmations, vouchers, or tickets until the pre-payment has been received. Cotopaxi Travel reserves the right to cancel your tour if payment is incomplete prior to the scheduled departure.
PRICES, SURCHARGES AND CREDIT CARD CHARGES
All our prices are listed in USD ($) and are current at the time of publication. We reserve the right to update prices prior to booking confirmation to reflect any changes in costs, seasonal supplements, accommodation upgrades, or other add-ons. For all payments made via credit card through WeTravel, a 3.9% to 6% service fee may apply, depending on the method and origin of the card. Any additional charges, including Ecuadorian taxes (IVA 12%) and bank transfer fees, are the responsibility of the client. Wire transfers 


We accept wire transfers or deposits to our bank account, and US$ cash payments at our office in Latacunga or Quito.

Online payments

Secure Online Payments in USD via WeTravel.
Cotopaxi Travel Cia. Ltda. now uses WeTravel as our official and secure online payment platform. You can easily pay using your credit or debit card (Visa, Mastercard, etc.) or through a bank transfer, depending on your location and currency. All prices and tour rates are listed in US dollars (USD) and are considered net prices. Please note that additional processing fees may apply depending on the payment method (e.g., WeTravel + 3.9% for international credit cards). These charges are the responsibility of the client. Once you confirm your tour and payment amount with Cotopaxi Travel, we will send you a personalized payment link via WeTravel to complete your transaction securely.

Damage & Loss

In case you, the client, looses or damages any property or equipment provided to you, you will have to pay the total amount for a replacement or the repair of the damaged property or item.

 

Liabililty

Most trips involve going to high-altitude and carry an inherent risk of altitude illness. Similarly, most trips visit remote locations or poorly developed regions where infrastructure is limited. In such places, the risks to health are increased and the ability to treat injury or illness effectively is reduced. Additionally, anything that involves crossing glaciated terrain or snow-bound passes, are hazardous activities with a risk of serious injury or death. By signing these Cotopaxi-Travel Terms & Conditions you acknowledge these hazards and your acceptance of the associated risks. Neither Cotopaxi-Travel nor any of its representatives will be responsible for any illness, injury or death sustained on trips, nor will they be liable for any uninsured loss of personal property.

Cancellations

Cancellation by You

Notice of cancellation by you must be given in writing. Should you cancel, the following scale of charges will apply:

  • - 30 days or more before the Departure Date = loss of deposit.
  • - 29 to 15 days from the start of the trip = 50% of total trip cost
  • - Less than 14 days before the Departure Date = loss of 100% of total trip cost,
  • unless agreed otherwise with cotopaxi travel due to unforeseen circumstances.

Cancellation by Cotopaxi Travel Company

A trip may be cancelled as a result of unforeseen events and beyond Cotopaxi Travel´s control including but not limited to war, riot, industrial dispute, terrorist activity, natural or nuclear disaster, fire, epidemics or health risks, closed or congested airports, ports or stations, changes imposed by re-scheduling or cancellation of transport, or adverse weather conditions.

Refunds


Cotopaxi Travel will not be responsible for issuing refunds under any of the following circumstances:

  • -Itinerary changes before or after departure due to weather, safety, or operational reasons.
  • -Mechanical failures affecting any form of transport during the trip.
  • -Substitution of guides, equipment, accommodations, or any other service provider.
  • -Late arrival or no-show by the client.
  • -The client’s voluntary decision to leave the tour early or skip any activities, meals, accommodations, or services included in the itinerary.
  • -Failure to travel with the necessary documentation (passport, visa, immigration papers, vaccination certificates, etc.).
  • -Price variations between passengers on the same tour, including discounted or last-minute rates.
  • -Government decisions, local authority regulations, or national park closures that impact tour operations.
  • -Severe weather conditions, risk of avalanches, or any safety-related decision made by the guide to prevent a possible accident.
  • -Any other events or conditions beyond the control of Cotopaxi Travel.

⚠️ Please note: In the event of cancellation due to high-risk conditions (e.g., extreme weather, avalanche danger, volcanic activity), the guide’s decision is final and must be respected. In such cases, no refunds will be issued, as the payment is used to cover the operational and logistical costs of the expedition, which are non-refundable once the tour is confirmed and underway.

If an official invoice is required, please let us know in advance. Otherwise, your booking voucher will serve as confirmation and proof of your tour reservation.
